Monday to Asana migration challenges

           Moving from Monday.com to Asana? You’re in the right place. At Altosio, we can help you migrate your data from Monday.com to Asana with ease. While it is a seamless and straightforward process, it comes with some challenges that you need to be aware of. 

The biggest difference between Asansa and Monday.com is that in Monday, every piece of data is stored in a custom column. In Monday, unlike most of other project management software (Asana, Trello, Write, Planner…), there are no pre-defined fields. Fields like status, start date, due date, description, assignee, file attachments are all custom fields that can (and can not) exist in your Monday board. The user in Monday is free to create these fields as custom fields, and can just skip their creation. Further, the user can create these fields with a different name, so instead of Description, they could create the same field and call it “Notes”.

There are 2 big challenges between Monday and Asana:

        1. Matching the Monday fields to Asana predefined fields.

Altosio needs to make use of Asana predefined fields and make sure they are used and match the Monday.com fields. For example, in Monday, if the user has a custom field of type ‘Long text’, in which they store the description of their task, there is no need to create a new custom field in Asana. Altosio automatically maps this Monday field to the Asana description predefined field. The same thing goes with a Start date of Due date field. Altosio will not create new custom fields for these columns. It will make use of the predefined fields in Asana.

        2. Migrating data that has no equivalent to it in Asana

In Monday.com, there are a few column types that do not have an equivalent to them in Asana. Some of the data that is stored in these fields will not be migrated, as Asana does not provide a way to create these custom field types. For some other types, Altosio tries to still migrate the data without creating the custom field. The Monday field types that are not supported by Asana are listed below:

  • Board Mirror: This column type in Monday allows you to mirror your connected boards. Since there is no such feature in Asana, this field will be ignored during the migration.
  • Connect boards: This column allows you to connect data from other boards. This feature does not exist in Asana and is ignored during the migration.
  • Formulas: While there is a formulas custom field type available in Asana, the Asana formula field has basic functionalities compared to the one in Monday. This makes it impossible to migrate this field given the incompatibility of the functions offered by both tools.
  • Files: Asana does not have a custom field of type File. File attachments will still be migrated during a Monday-Asana migration, but they will not reside in a custom field. They will be visible in the Attachments tab in Asana.
  • Date range and Timeline: Monday.com allows columns of type date ranges. This is not possible in Asana. The content of this field will be migrated as a Text in Asana.
  • Last Updated: This field is a combination of date and person in Monday. It allows you to have the information of who last modified the Task and when. The equivalent to this is a Last Modified Date in Asana, which is a custom field that only supports a Date-Time. Therefore, the modifier information is lost.

There are several other Monday.com fields that are not supported in Asana. They are however mostly not used by users. 
While Monday.com offers a wide range of types, this can create a huge mess with users creating custom columns left and right, leading to things going out of control. This is why Asana is a lot more efficient in this area, restricting your choices to what you need, but keeping your data clean and tidy.

It is well recommended by Altosio to move away from Monday.com. While from the outside it looks like a rich tool, the richness comes with a very big risk of having your data become unexploitable. Giving so much freedom to users can only lead to a mess that becomes a lot harder to clean over the years.
